Important: What it is not

No payment system, no complaints office.

The tenant portal is not a Payment system. Rents continue to be transferred by standing order or SEPA mandate — we explicitly recommend not changing this, because existing leases regulate it that way.

It is also not a A forum for formal complaints. The tenant cannot raise claims through the portal, cannot lodge a formal objection and cannot „ablehnen" a statement. That would be the wrong approach for landlord software.

If a tenant has objections it runs as always in writing by letter or email — and the law also prescribes this (German Civil Code: written objection, not app button).

Using the tenant portal right — benefits and limits

A tenant portal is a secure, browser-based platform where each tenant gets access to their own data: statements, consumption data, receipts, contracts, consumption information per German heating regulation. Unlike an app, nothing needs to be installed — the tenant gets their own login URL and signs in from any device.

The biggest benefit is the tenant self-service: many inquiries arise because the tenant doesn't understand why water costs are higher than last year or why heating costs differ from advances. With access to the receipts, much answers itself — you typically save 60–80% of annual email inquiries.

Important to know: A tenant portal does not replace written communication in formal matters. Objections to the service-charge statement must be made in writing under § 556 of the German Civil Code (BGB) — the tenant has 12 months to do so. Rent increases, terminations and formal demands likewise require the traditional postal route or an unambiguously attributable email.

Rentprime ist als Auftragsverarbeiter tätig und stellt dir automatisch einen AV-Vertrag bereit. Server stehen in Deutschland, die Daten werden mit TLS 1.3 in Transit und AES-256 in der Datenbank verschlüsselt.
