It is operated by KRUPKA Concept GmbH in Monheim am Rhein, runs in the browser and starts at €15.90 a month, cancellable monthly.

How long does a utility bill take with Rentprime?

Accepted Answer

A complete utility bill for an average apartment takes about 10 minutes with Rentprime — instead of 3-5 hours with Excel. You upload receipts via photo (AI extracts vendor, amount, date automatically), the system allocates per German heating regulation §7 (heating), German operating-costs regulation (operating costs) and CO₂ cost allocation (CO₂ split), and at the end you get a legally compliant PDF ready to send to your tenant.

Is Rentprime's billing legally compliant and BGB-conform?

Accepted Answer

Yes. Rentprime calculates strictly per German heating regulation §7, German operating-costs regulation and CO₂ cost allocation §§5–8. We follow current Federal Court of Justice rulings 2024–2026. We cannot give a legal guarantee — no provider can — but the underlying allocation keys, deadlines (German Civil Code: 12 months) and German operating-costs regulation cost categories are correctly implemented and updated for any legal change.

Is my tenant data GDPR-compliant and secure?

Accepted Answer

Yes. Core and tenant data are stored encrypted in the EU. Our hosting provider is ISO 27001-certified (the certificate covers the hoster, not Rentprime itself — a dedicated ISO 27001 certification for Rentprime is in preparation). TLS 1.3 in transit, AES-256 at rest for sensitive fields. AI features (Lou chat, contract check, receipt recognition) involve a transfer to the United States: Lou chat and contract check run on Anthropic (USA), receipt recognition on Anthropic Claude. Both providers are DPF-certified (EU-US Data Privacy Framework, EU Commission adequacy decision of 10 July 2023); EU Standard Contractual Clauses (SCC, Art. 46 GDPR) apply in addition, and they are listed as processors in the DPA. You get an instant DPA per Art. 28 GDPR and can export your full data as CSV/ZIP or request account deletion at any time.

Can I replace Excel and import old bills?

Yes, Rentprime replaces Excel entirely. Old bills (PDF/Excel) can be uploaded as history only (NOT recalculated). We recommend starting fresh with Rentprime from the next billing year. Master data (tenants, properties, contracts) can be imported via CSV in 5 minutes.

How accurate is the AI receipt recognition?

Accepted Answer

You photograph a receipt with your phone. AI (Anthropic Claude Vision) extracts vendor, date, amount, period and cost category in 2 seconds and assigns it to the right property. Major German utility providers (Mainova, EWE, Stadtwerke) are recognised with >97% accuracy. Even handwritten receipts from chimney sweeps or caretakers work. Receipt data is transferred to the United States for recognition — safeguarded via the EU-US Data Privacy Framework and EU Standard Contractual Clauses (details in FAQ 4).

Yes — Rentprime is a Progressive Web App (PWA) that works directly in the browser but installs on your homescreen like a native app. Capture meter readings on a boiler-room visit, scan receipts at the hardware store, check the latest rent payment in the café. No App Store download, no update hassle — always the latest version, always instantly available.

Are rent payments matched automatically and dunning suggested?

Accepted Answer

Yes. Via the Bank-Sync (PSD2 Open Banking, free in all plans) you connect your landlord account at any major German bank (Sparkasse, Volksbank, Commerzbank, DKB, ING, N26…). Incoming payments are auto-matched to tenants by IBAN, reference, amount. If a tenant misses payment, the system suggests dunning reminders at day 5/14/21 — legally formatted with BGB references, interest, deadlines. You just click "Send".

What if a tenant disputes the bill?

By law (German Civil Code), the tenant has 12 months to dispute. Rentprime helps prevent disputes: the bill is fully documented step by step, all receipts are GoBD-compliant archived for 10 years, the allocation key is transparently shown. If questions arise, you have all documents at hand in 30 seconds.
